RECEPTIONIST

Family Service Regina is looking to fill the position of permanent full-time Receptionist.
The receptionist position will be responsible for a wide range of administrative tasks. As the first point of contact for clients, visitors, and the community, the receptionist must be able to multitask by greeting clients, answering multiple phone lines, process transactions, updating client information, sort and distributing the mail while supporting agency needs.

We are looking for someone who is highly organized with excellent communication skills, both
verbal and written, with strong attention to detail. Ideally, this person will have a combination of education and experience, with a willingness to learn as well as a good work ethic and be self-motivated.

Responsibilities include but are not limited to:
▪ Communication: Ability to effectively communicate both verbally and in writing in a courteous,
sensitive and professional manner with a diverse population
▪ Confidentiality: Manage sensitive and private information professionally
▪ Computer/Technology: Strong computer and keyboarding skills, proficient in Microsoft Office
programs
▪ Team player: Ability to work individually as well as a part of a team
▪ Office Equipment: Proficiency in the use of office equipment, multi-line phone system,
photocopier, fax and email
▪ Organizational skills: Prioritize tasks and make decisions, strong multi-tasking skills and ability to
quickly transition between tasks with multiple interruptions
▪ Data Entry: Ability to manage multiple databases and spreadsheets and provide accurate and
timely data entry.
And other duties as required from time to time.
Qualifications:
▪ Completed some Post-Secondary Education, or an acceptable combination of education and
experience.
▪ 2 – 4 years of direct work experience in a receptionist capacity preferred.

OFFICE MANAGER

Family Service Regina, a community-based, not-for-profit agency, is seeking a highly organized, and detailed oriented administrative professional to join us in the role of Office Manager. Reporting directly to the CEO this position is key to ensuring the efficient day-to-day operations of Family Service Regina supporting our mission to create well-being for individuals and families in our community.

As the office manager, you will provide senior-level administrative leadership and office management support to the organization working collaboratively with a great team.

In this position, primary responsibilities include:
• Monitoring administrative and HR processes and proactively making improvements across the organization to ensure optimum efficiency
• Supervision of Reception staff and manage the front desk
• Support front desk as needed, providing information to both telephone and walk-in clients
• Collaboratively support all teams, program staff, projects, and initiatives within the organization
• Lead Human Resource processes and coordinate new staff and student onboarding
• Manage bank deposits and cash reconciliation for the Accountant
• Participate in and coordinate leadership team meetings including drafting and distributing agendas; recording minutes; and tracking and monitoring action items to ensure timelines are met
• Support the CEO in preparing Board meeting agendas, pre-meeting materials, attending Board meetings, and preparing meeting minutes
• Maintain all office equipment and coordinate telephone system, IT, and software support with contractors
• Compile and complete, as directed, program statistical reports
• Maintaining manual and electronic filing, bringing forward and record management systems
• Data entry into and report generation from various computer application
A successful candidate will possess:
• Strong interpersonal skills with the ability to maintain effective working relationships and deliver excellent customer service to all clients.
• Tact, recognize sensitive situations and exercise a considerable degree of judgment and discretion, maintain confidentiality, and respond appropriately.
• Effective and professional oral and written communications skills. Ability to promote and maintain a positive image and reputation for our organization.
• Experience in organizing meetings, developing agendas, and taking minutes.
• Demonstrated proficiency in the use of Microsoft Office (Word, Excel, and Outlook) and complex databases.
• Experience maintaining complex filing systems (paper and digital records).
• Ability to organize many tasks and meet deadlines while maintaining accuracy and attention to detail.
• Ability to define problems, analyze, and interpret information in order to identify possible solutions and provide recommendations.
